  • Job Objective: A brief overview of the position.
    • The position assists in administrative operations as directed by the Director; provides various clerical, administrative, and general office support including preparation of reports and presentations, document/word processing, creation of electronic/print forms, topic research/preparation relevant to the Professional Development Department, record and file maintenance both electronic and print, scheduling and coordination of meetings and schedules, mail/email distribution and telephone/message reception and triage for the CAO, Directors reporting to the CAO and to those areas reporting to the Director

  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Maintains organized office space. Filing system is maintained for easy retrieval of information. Organizes for the department of Nursing Professional Development serving the team of the department. Learning areas to provide support for calls while other positions are not available.
    • Performs clerical duties for Director and direct reports. Composes own memos and correspondence from general instruction. Does work processing and assists in creation of forms, flyers, and lunch and learns for the department.
    • Maintains calendars for Administrator and other reporting staff. Changes in schedule are relayed to all concerned in a timely manner. Takes initiative to offer suggestions to optimize schedules whenever appropriate.
    • Records and transcribes minutes as required. Arranges meeting dates, times and locations. Prepares meeting notifications and meeting packets. Requests food service and catering as appropriate.
    • Revises and prepares new policies and procedures for department manuals. Distributes updates in a timely manner to all appropriate areas.
    • Prepares and maintains job descriptions. Prepares staff annual and probationary evaluation packets for all reporting areas. Organizes and distributes competencies for annual reviews. Creates, updates, and maintains performance review, comp, list etc., and collaborates with HR to make sure all information is accurate and up to date.
    • Maintains employee files for department (PAF changes, terminations, counseling’s, LOA’s, education, etc.). Maintains confidentiality of information handled. Forwards originals to Human Resources.
    • Tracks and maintains all certifications and licenses for reporting areas. Notifies staff of upcoming license/certification renewal date. Upon receipt, forwards copies to Human Resources and Education Department files.
    • Maintains department specific reports for Director, Net Learning Specialist, RQI Project Specialist, and Clinical Educators.
    • Tracks past due evaluations and health screens, and notifies employee monthly of upcoming outdates.
    • Schedules and coordinates interviews; prepares interview packets and arranges meeting space.
    • Prints, distributes and maintains monthly financial packets for all reporting areas (Income Performance Analysis Report, General Ledger Report, and Accounts Payable Report) and any other custom financial reports as requested.
    • Picks up, sorts and distributes mail for department, including Director, Net Learning Specialist, RQI Project Specialist, and Clinical Educators.
    • Opens and distributes mail for Director, with redistribution of reports and memos to all staff as indicated.
    • Obtains signatures and processes requests (capital equipment requisitions, purchase orders, check requests, PTO requests, education and travel requests, contracts etc.).
    • Collects all mandatory employee compliance packets and coordinates with Education to record to employee file for all nursing department.
    • Orders supplies as necessary for the administrative office and education staff.
    • Complies with departmental plan to meet budget goals.
    • Creates/prepares reports and presentations as requested.
    • Provides phone intake, messages and triage of calls/messages for Director, Net Learning Specialist, RQI Project Specialist, and Clinical Educators.
    • Creates and prepares packets, binders, etc. as requested for approved conference attendees, new hires, and existing employees.
    • Performs basic data mining as requested and is able to compile reports from available data such as the outcomes scorecard.
    • In collaboration with department, prepares data/reports for and updates the LEAN performance board in preparation for staff meetings/presentations.
