  • Job Objective: A brief overview of the position.
    • This position is responsible to provide a variety of support services for clinics in the Eisenhower Health Centers including office support, phone coverage and data gathering. The position will also be an administrative assistant to the VP of EMA and Director of HR and Administrative Services.

    • Education
      • Preferred: High School Diploma
    • Licensure/Certification
    • Experience
      • Required: 2 years administrative or management support or experience in a physician practice or other relevant healthcare setting.
      • Preferred: 5 years administrative or management support or experience in a physician practice or other relevant healthcare setting.
  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Performs administrative assistant duties for the VP of EMA and Director of HR including maintaining calendars and arranging travel when necessary, prepares correspondence, distributes department reports as requested, collects and delivers mail for the department, and orders office supplies.
    • Answers the EMA department phone responding to inquiries in friendly and professional manner. Redirects calls to other personnel as appropriate.
    • Schedules and coordinates department meetings. Invites are sent to required attendees through Outlook or personally called. Meeting rooms and any catering needs are arranged. Agendas and corresponding documentation are distributed.
    • Responsible to gather data used for clinics metrics and create and update accurate spreadsheets to track clinic metrics. Examples include patient volumes by clinic, physician outstanding EMR tasks, patient encounters by provider hours, etc.
    • Monitors physician schedules to ensure appropriate scheduled clinic time and tracks physician time off for PTO and CME purposes and notifies appropriate personnel of physician time-off.
    • Supports the recruitment of physicians by maintaining the Contracting and Recruiting Update report and distributes the report to the appropriate personnel.
    • Intakes and archives incoming physician CVs. Works with the VP to distribute to appropriate medical directors and/or administrators to review.
    • Coordinates candidate interviews and accurately arranges travel and lodging for candidate interviews.
    • Assist with gathering and assimilating candidate post-visit feedback.
    • Cross trains with and provides back up support (when necessary for staff absence or unusual workloads) to the Physician Employment Specialist.
    • Cross trains with and provides back up support (when necessary for staff absence or unusual workloads) to the Credentialing Specialist.
    • Performs other duties as assigned.
