  • Job Objective: A brief overview of the position.
    • This position is responsible to provide a variety of support services for clinics in the Lucy Curci Cancer Center as directed by the Business Office Manager, provides various clerical, administrative, and general office support including creating documents, memos, forms utilizing Microsoft Office, report preparation, record and file maintenance, data gathering, and data analysis and presentation.

    • Education

    • Experience
      • Required: 2 years administrative or management support or experience in a physician practice or other relevant healthcare setting.
      • Preferred: 5 years administrative or management support or experience in a physician practice or other relevant healthcare setting.
  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Responsible to gather data used for clinics metrics and create and update spreadsheets to track clinics metrics. Examples include patient volumes by clinics, physician outstanding EMR tasks, patient encounters by provider hours, etc.
      • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
      • Responsible to gather data used for clinics metrics and create and update spreadsheets to track clinics metrics. Examples include patient volumes by clinics, physician outstanding EMR tasks, patient encounters by provider hours, etc.
      • Analyzes data prepared, presents clinics metrics to CAOs and clinics administration, answers questions on data, resolves issues with data, cross checks data where possible to verify accuracy, and assists with improving the data gathering and presentation process.
      • Monitors physician schedules to ensure appropriate scheduled clinic time and tracks physician time off for PTO and CME purposes.
      • Cross trains with and provides back up support (when necessary for staff absence or unusual workloads) to the Front Office Ancillary Secretaries.
      • Tracks and maintains all certifications and licenses for reporting areas.
      • Schedules and coordinated interviews: prepares interview packets and arranges meeting space.
      • Maintains annual compliance for all employees including competencies, safety updates and coordinates skills fair in collaboration with leadership and education department.
      • Order supplies as necessary for leadership.
      • Responsible for packing and shipping medical records to storage.
      • Performs other duties as assigned.
