  • Job Objective: A brief overview of the position.
      • Assists in administrative operations as directed by leadership. Provides various clerical, administrative, and general office support involving word processing, report preparation, scheduling of meetings and telephone reception. Responsible for phlebotomy, specimen processing/handling. Processes all specimen types to assure accurate type of registration, processing of specimens, and ordering tests.

  • Qualifications
    • Education
      • •    Required: HS Diploma, GED or higher level degree
        •    Preferred: AA degree in business or related field

    • Licensure/Certification
      • •    Required: Certified Phlebotomy Technician (CPT); Valid California driver license

    • Experience
      • •    Required: Two (2) years of administrative support experience
        •    Preferred: Administrative support experience in healthcare setting

  • Essential Responsibilities
    • 1.    Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
      2.    Answers phones and facilitates prompt messages to appropriate staff.
      3.    Prepares correspondence, reports, schedules, etc. and distributes as appropriate.
      4.    Maintains calendars for leadership; changes in schedule are relayed to all concerned in a timely manner.
      5.    Facilitates meeting setup (date, time, location, packets, food, etc.) and records and transcribes minutes as requested.
      6.    Revises and prepares new policies and procedures for department(s) and distributes information in a timely manner to all appropriate areas.
      7.    Assists in creation of forms and flyers.
      8.    Prepares staff annual and probationary evaluation packets for all reporting areas.
      9.    Maintains employee files for department(s) (PAF changes, terminations, counseling’s, education, etc.).
      10.    Maintains confidentiality of information handled and forwards originals to Human Resources Department.
      11.    Tracks past due evaluations and employee health requirements, and notifies employee(s) monthly of upcoming deadlines.
      12.    Assures all assignments/projects are completed within required timeframes.
      13.    Schedules and coordinates interviews; prepares interview packets and arranges meeting space.
      14.    Obtains signatures and processes requests (capital equipment requisitions, purchase orders, check requests, paid time off (PTO) requests, education and travel requests, etc.).
      15.    Complies with departmental plan to meet budget goals.
      16.    Orders supplies as necessary for the administrative offices.
      17.    Picks up, sorts and distributes mail for department(s).
      18.    Maintains and practices professional boundaries with all patient interactions. 
      19.    Properly identifies patient using two identifiers and collects specimens by venipuncture, heelstick, or fingerstick by established protocol.
      20.    Orders and processes laboratory requests in accordance with established procedures to assure timely and accurate collection and reporting priorities.
      21.    Adheres to HIPAA standards when using, disclosing or requesting protected health information.
      22.    Collects, processes, and transports remote laboratory specimens with precision and in accordance with established procedures and best practice guidelines, i.e. two patient identifiers, aseptic technique, appropriate equipment, correct tests and storage.
      23.    Maintains reliable transportation and must be willing to utilize personal vehicle to transport oneself to site of contracted client to run supplies to care providers in the field or perform phlebotomy. Engage in honest, accurate accounting of miles traveled. (Mileage reimbursed at current IRS defined rate per mile).
      24.    Performs other duties as assigned.
