  • Job Objective: A brief overview of the position.
    • The Executive Assistant is responsible for the effective and efficient operation of the office of the President of the Eisenhower Health Foundation. This position interacts with the members of the Eisenhower Health Board of Directors and Trustees, Eisenhower Health Executive Leadership and all staff who report to the President, Foundation. Performs duties assigned by the President, Foundation, including supporting, when necessary, Major Gift Officers. Performs other duties as assigned.

    • Education
      • Required:  Highschool, GED or Higher Level Degree
         

    • Licensure/Certification
      • None
    • Experience
      • Required: 5 Years secretarial experience with at least 2 years in an administrative capacity with emphasis on customer service/guest relations.
      • Preferred: Some supervisory experience helpful
  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Represents the President, Foundation office with all levels of leadership, board members, staff and donors.
    • Prepares correspondence and materials for Eisenhower Health Foundation, President’s fundraising prospects.
    • Schedules, coordinates, and prepares for President, Foundation reports for Eisenhower Health Board meetings ensuring all materials are distributed prior to the meeting.
    • Organizes the President, Foundation office and activities, schedules appointments and maintains accurate daily calendar. Anticipates need to communicate with appropriate people regarding adjustment to daily appointments. Coordinates routine meetings and appointments. Plans and coordinates set-ups for meetings making sure all materials and equipment are available on time.
    • Assists in coordination with Timekeeper with bi-weekly payroll submittal to Eisenhower Health payroll department when needed, as directed by the President, Foundation: a) reviews and reconciles time cards with staff, and b) approves and submits final payroll data to payroll department when needed.
    • As a person representing the Foundation President, is committed to participate in support of the Foundation Department’s most urgent needs.
    • As a person representing the Foundation President, is committed to participate in support of the Foundation Department’s most urgent needs.
    • Prepares correspondence, reports, contracts, forms, and other confidential documents as requested. Composes Agreements of same for review when applicable as requested or on own initiative. Typing is accurate and expeditious.
    • Review and understand the Policies and Procedures of Eisenhower Medical Center. Be aware of updates and changes in order to keep the President, Foundation informed of new policies that need to be discussed with staff.
    • Answers and screens all calls for the President, Foundation and Senior Vice Presidents, Foundation (as directed) and takes accurate phone messages.
    • Open, review and prioritize mail and interoffice correspondence received daily for the President, Foundation and Senior Vice Presidents, Foundation.
    • Supports other Foundation staff as assigned by President, Foundation.
    • Maintains donor information and details in Raiser’s Edge software of all President’s prospects.
    • Performs other duties as assigned.
