  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Organizes and maintains the Med. Director and Exec Director daily calendars, appointments and schedules. Arranges meetings, conferences, travel arrangements, and interviews as requested.
    • Answer and triage incoming patient calls.
    • Collaborate with clinical staff and patients in order to obtain needed information to facilitate coordination of patient care.
    • Assist with faculty recruitment including coordinating logistics or search committees and interviews, coordinating all resources for new faculty hires such as office set up, (phone, page & computer), travel and relocation reimbursement and coordinate and schedule information systems training.
    • Assist in budget development process and reporting.
    • Gathers data and composes concise summary reports for the Cancer Center Director.
    • Accurately type correspondence minutes, forms and other documents in agreed upon time frames. Superior proofreading and editing skills to ensure accuracy and correct grammatical content of documents. Strong composition, editing and proofreading skills to review copy for appropriate style, consistency, format  completeness, errors, etc.
    • Actively participates in short and long range planning for the Cancer Center. 
    • Provides high level executive administrative support to the Cancer Center Director, including travel arrangements, status reports and ad-hoc statistical reports as requested and needed.
    • Acts as a resource regarding policies, procedures and precedents of the Cancer Center.
    • Assists with needs assessments-analysis and interacts with Cancer Center Director for continued strategic analysis.
    • Receives, sorts, opens, prioritizes and distributes mail and interoffice correspondence to appropriate individual. Responds to correspondence as necessary or as directed and ensures confidentiality on all issues.
    • Answers administrative telephone in an efficient, polite and friendly manner; phones are answered within 3 rings during working hours of 8-5 pm.
    • Performs general secretarial functions in a timely efficient and courteous manner including transcription, supply ordering, copying faxing, typing correspondence and special projects.
    • Prepares agendas and records minutes for committee meetings including Cancer Committee and various work groups to Cancer Program.
    • Maintains confidential files and files material in appropriate files in timely manner.
    • Arranges meeting room and food for committee and departmental meetings.
    • Maintains calendar of regularly scheduled meetings, updating and amending as instructed, sending reminders to required attendees.
    • Demonstrates superb interpersonal skills to successfully interact with variety of people, including high-level executives, civic leaders and members of community from diverse cultures and backgrounds.
    • Demonstrates flexibility in response to unexpected change in work volume.
    • Orders supplies as necessary for administrative offices.
    • Manages meeting rooms schedules and setting up room as required, ordering food and A-V equipment set up.
    • During periods of heavy workloads in able to aid others in the completion of work.
