  • Job Objective: A brief overview of the position.
    • This position provides comprehensive administrative support to the Director of Medical Education Admin regarding residents, fellows, and medical students. Assists the GME department, program directors, managers, and coordinators with educational and departmental activities. Responsible for the routine processes for monitoring, data collection/dissemination and organization of Accredited and non-accredited Graduate Medical Education Programs and subspecialty Fellowship Programs

  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and reports suspected violations.
    • Provides comprehensive administrative support to the Director of Medical Education Admin, Designated Institutional Official, Program Directors/Managers, and trainees (residents, fellows, and/or medical students), including creation and editing of correspondence, reports, publications, educational materials, assessment data and ensuring timely completion of deadlines..
    • Works with GME Director, and/or Program Directors/Managers with applicable accreditation processes encompassing, but not limited to Program Meetings, Clinical Competency Meetings (CCC), Program Evaluation Committee Meetings (PEC), Graduate Medical Education Committee Meetings (GMEC), Annual Program Evaluation (APE or equivalent), Annual Institutional Review (AIR or equivalent), Self-Studies, Clinical Learning Environment Review (CLER) Visits, etc.
    • Coordinates GME activities for assigned Department/ Resident/Fellow Committee meetings and acts as liaison between the Medical Staff, GMEC, and the individual training programs.
    • Assist in preparation of department commencement and orientation as well as any requested monthly/quarterly Department/Committee meetings and related GME events.
    • Assist GME Director in creating and maintaining GME institutional policies as required by the ACGME; prepares updates as needed for GMEC committee review and uploads official policies on LuciDoc and GME website.
    • Coordinates, facilitates, and participates in Faculty/Professional Development, Research Scholarly Activity Day, M&M, Wellness, DEI and any other institutional activities for Program Directors, Core Faculty and Program Managers/Coordinator.
    • Assist GME Director/DIO with the preparation of reports required by the ACGME for compliance with Sponsoring Institution requirements, including, but not limited to the Annual Institutional Review.
    • Maintains current knowledge and interpretation of recommendations and standards by ACGME, Medical Board, and other regulatory agency standards.
    • Assists with preparation of ACGME Institutional and Program Site Visits.
    • Monitors completion and submission of Annual Program Evaluations; updates and tracks corrective action plans using MedHub data base.
    • Work with GME Director on identifying opportunities for improvements in methods, procedures and organization to increase efficiency in GME team operations.
    • Coordinate and track and implement resident/fellow quality improvement, research activities, and diversity initiatives.
    • Collect, research, enter, and track all information in databases as required for applicable accreditation organizations, including but not limited to, resident/fellow/faculty demographics, program information, board pass rates, and scholarly activity.
    • Coordinates and schedules complex meetings: including room reservation, supply, AV needs as needed, create agendas, prepare documents, coordinate calendars, facilitate logistics, and take minutes as assigned.
    • Monitor and update GME Grants and provide quarterly reports.
    • Assist GME Director with Resident/Fellow time cards on Kronos
    • Assist GME Director with monitoring and updating GME website, MedHub, NRMP, and other GME related websites.
    • Assist GME Director with updates, correspondence, and maintain active GME contracts, Program Letter of Agreements (PLAs) with affiliate institutions.
    • Maintains close communication with CME and training programs in the coordination of educational, multidisciplinary, and collaborative activities.
    • Supports GME office in daily office routines, inventory of supplies, mail and faxes, answering moderate volume of inquiries from faculty, staff, trainees, and other individuals and assist with requests for information and material from GME office as well as provide front desk assistance when needed.
