  • Job Objective: A brief overview of the position.
    • The Graduate Medical Education (GME) Institutional Coordinator participates in an array of administrative oversight functions and supports the Chief Administrative Officer (CAO) of GME, as well as the Director of Diversity, Equity and Inclusion (DEI), and Director of Scholarly Activity & Faculty Development. Under the direction of department leadership, the coordinator is involved in the administration and support of any service the GME office provides, generally under established accreditation and regulatory requirements, policies, and processes.

  • Qualifications
    • Education
      • Required: Bachelor’s Degree or one (1) year of additional experience in an academic medical environment and/or residency program in lieu of degree

    • Licensure/Certification
      • Preferred: Training Administrators for Graduate Medical Education (TAGME) Certification

    • Experience
      • Required: Two (2) years of experience in medical or academic setting
      • Preferred: Experience in medical education or residency program; experience with Residency Database Management
  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and reports suspected violations.
    • Provides comprehensive administrative support to the CAO of GME, Director of Diversity Equity and Inclusion, Director of Scholarly Activity and Faculty Development, and any service of the Residency/Fellowship Program Directors/Managers, including creation and editing of correspondence, reports, publications, educational materials, assessment data and ensuring timely completion of deadlines.

    • Supports the Director of DEI in implementing DEI strategies, coordinates the DEI related training and educational activities for residents, fellows, and faculty. Assists in the development and monitoring of metrics to measure the effectiveness of DEI within the programs.

    • Works with the Director of Scholarly Activity and Faculty Development to facilitate research opportunities for residents and fellows. Supports faculty development programs and scholarly activity initiatives. Coordinate events, workshops, and lectures related to research and faculty skills enhancement.

    • Oversees and coordinates GME activities for assigned Department/ Resident/Fellow Committee meetings and acts as liaison between the Medical Staff, GMEC, and the individual training programs.

    • Assists the CAO in planning and coordinating GME related events, including outside community events in relation with the Mobile Unit.

    • Assists CAO in creating and maintaining GME institutional policies as required by the ACGME; prepares updates as needed for GMEC committee review and uploads official policies on LuciDoc and GME website.
    • Oversees the submittal, tracking, and execution of all GME contracts, Master Affiliation Agreements, Program Letter of Agreements with affiliate institutions.
    • Assists CAO/DIO with the preparation of reports required by the ACGME for compliance with Sponsoring Institution requirements, including, but not limited to the Annual Institutional Review.
    • Maintains current knowledge and interpretation of recommendations and standards by ACGME, Medical Board, and other regulatory agency standards.
    • Assists with preparation and submittal of new ACGME program applications and help prepare for ACGME Institutional and Program Site Visits.
    • Works with CAO on identifying opportunities for improvements in methods, procedures and organization to increase efficiency in GME team operations.
    • Monitors and tracks resident/fellow and faculty scholarly/research and QI activities.

    • Coordinates and schedules complex meetings: including room reservation, supply, AV needs as needed, create agendas, prepare documents, coordinate calendars, facilitate logistics, and take minutes as assigned.
    • Oversees the submittal of resident/fellow time cards on UKG and works with Human Resources and Payroll with any discrepancies. Tracks resident/fellow leave of absence.

    • Maintains close communication with GME and training programs in the coordination of educational, multidisciplinary, and collaborative activities.

    • Supports GME office in daily office routines, inventory of supplies, mail and faxes, answering inquiries from faculty, staff, trainees, and other individuals; assists with requests for information and material from GME office as well as provide front desk assistance when needed.

    • Performs other duties as assigned.
