  • Job Objective: A brief overview of the position.
    • This position is responsible to provide a variety of support services for the Cardiothoracic Surgery Clinic, providing clerical, administrative, and general office support including creating documents, memos, forms utilizing Microsoft Office, report preparation, record and file maintenance, data gathering, and data analysis and presentation.

    • Coordinates the care of a patient including, but not limited to, escorting patient to exam room, performing vital signs, preparing patient for exam and discharge, including preparation of medical chart, retuning phone calls, facilitating physician orders, and other duties as needed.

  • Qualifications
    • Education
      • Required: MA Course Completion from recognized educational institution 
      • Preferred: College Courses
    • Licensure/Certification
      • Required: American Heart Association BLS
      • Preferred: Medical Assistant Certificate
    • Experience
      • Required: One (1) year of office practice experience, and two (2) years of experience in a physician practice or other relevant healthcare setting.

      • Preferred: Five (5) years of administrative or management support or experience in a physician practice or other relevant healthcare setting.

  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Clinical Support Specialist

    • 1. Gathers data used for clinics metrics and create and update spreadsheets to track clinics metrics. Examples include patient volumes by clinics, physician outstanding EMR tasks, patient encounters by provider hours, etc.

    • 2. Monitors physician schedules to ensure appropriate scheduled clinic time and tracks physician time off for PTO and CME purposes.
    • 3. Orders supplies as necessary for covered offices.

    • 4. Cross trains with and provides back up support (when necessary for staff absence or unusual workloads) to the Front Office Patient Admitting Specialist and Back Office Medical Assistant.

    • Medical Assistant Support Role

    • 1. Prepares patient charts timely and accurately and places order for procedures and diagnostic studies as appropriate, timely and accurately.
    • 2. Answers patient questions and requests in a timely and appropriate manner.
    • 3. Faxes and copies necessary information to insurance companies, other physician offices, and other facilities as necessary while adhering to HIPAA compliant policies.
    • 4. Ensures completeness and accuracy of all forms filled and signed by patients
    • 5. Confirms patient appointments timely
    • 6. Processes billing information accurately and timely
    • 7. Answers phones, retrieves voicemail messages and returns calls timely and appropriately.
    • 8. Obtains medical history (vital signs) and assists physicians so that appropriate preparation, examination and diagnostic testing occur without error and without delay.
    • 9. Processes patient referrals to other physician offices.
    • 10. Ensures patient information is correctly entered in the database.
    • 11. Assists with the release of patient records and films to patients.
    • 12. Collaborates with the scheduling of new patients.
    • 13. Assists with internal billing audits as necessary.
    • 14. Performs other duties as assigned.
