  • Job Objective: A brief overview of the position.
    • The Office Coordinator works under the supervision of the RN-Practice Supervisor and is responsible for the coordination and efficiency of the Departmental administrative support functions, including but not limited to the coordination of the clerical staff , scheduling appointments and procedures, staff meetings, problem solving related to facility and patient problems, equipment and supply inventory, ordering supplies, facilitating coordination of the various functions within the department, and other support duties as assigned

    • Education
      • Preferred: Two year degree AA
    • Licensure/Certification

      • Required: 2-4 years of front office experience in a Physician Office
      • Preferred: Sleep Center and Supervisory Experience
  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Monitors efficiency and productivity of Front Desk daily operations.
    • Maintains open lines of communication with Manager about problems with operations, equipment, staff, patients, and guests.Oversees Physicians Clinic Schedule.
    • Acts as Revenue Custodian for the Sleep Center. Assures accurate and timely processing of the departments charges.
    • Acts as liaison with Information Systems, Facilities/ Materials Management, and Business Office and Medical Records to ensure efficiency of the departments operations.
    • Places all office and medical supply orders for the department. Assures distribution, stocking and cost management of supplies.
    • Responsible for overseeing the copying of medical records that pertain to disability or subpoenas and the delegation of requests to the Medical Records dept.
    • Assures timely distribution of memos including: employee phone list, staff meetings, luncheons, physician on call calendar, and department memos.
    • Participates in decision making processes via the staff meeting, physician meetings and networking with ancillary departments and outside vendors.
    • Participates as appropriate with other EMC departments to ensure the department remains compliant with policy and procedure changes.
    • Responsible for training new clerical staff.
    • Cross-trains in the Department Secretary job duties to ensure coverage for vacation, sick days, and assistance when necessary.
    • Initiates departmental cross functions by identifying opportunities, operational innovation within the department collaborating with: staff and physicians to improve efficiency and quality.
    • Conducts regular equipment and supply inventory.
    • Arranges staff meetings as needed.
    • Acts as liaison for patient insurances (Medi-cal, Out of Area, HMO, Private) providing codes, and documentation upon request.
