  • Job Objective: A brief overview of the position.
    • Works under the direct supervision of the Director and Charge Nurse and serves as the primary point of contact for patients and visitors to the Urgent Care Centers. Greets, screens, and assists patients on the phone and in person. Responsible for greeting patients, registering, initiating visit records, explaining financial policy, taking payments, taking and prioritizing messages, reconciling daily financial transactions.

  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Alerts appropriate licensed back office staff to patients that present with complaints listed on "Chief Complaint Triage Criteria List".
    • Properly identifies patients by using proper method of retrieving patient history/information, avoiding creation of duplicate medical records for additional patient visits. Verifies and updates patient demographic and patient insurance information.
    • Completes accurate registrations via computer systems, Accurately assigns insurance to subscriber within the computer patient profile. Follows downtime procedures during system downtime.
    • Obtains and copies or scans insurance cards (both front and back) and other forms of patient identification. Confirms patient insurance eligibility and benefits; documents coverage and collects co-pays; Ensures that all patients are aware of the insurance benefit coverage and their financial responsibility.
    • Explains EMC financial policy to ensure payment at the time of service. Identifies self-pay patients, counsels regarding prices, need for financial assistance packet, and payment options to assist patient in making informed financial healthcare decisions.
    • Calculates cash discount and quotes for outpatient services. Collects and processes payments and provides patient with receipt. Takes payments, records and reconciles financial transactions as well as makes correct change.
    • Ensures cash drawer balance is accurate. Orders replenishment of change fund as needed. Completes daily bank deposits and prepares deposit for armored car pick-up.
    • Completes daily financial reconciliation reports and transmits to the clinic billing department with all proper documentation; Initiates proper forms process for accounts that need billing attention.
    • Completes the Medicare Screening Form (MSP) for all Medicare patients and adheres to completion per Medicare requirements.
    • Ensures that all patient access paperwork, per organizational policies, including patient HIPAA regulation information, patient required signatures and forms that are necessary for the appropriate department services to be performed, are completed.
    • Maintains awareness of patient sequence order during waiting period. Coordinates and assists other staff to ensure that all patients are registered in a timely manner.
    • Constantly stays in contact with patients in lobby to ensure they are comfortable and informed.
    • Telephone inquiries are answered in a timely manner and accurate message are taken, prioritized and forwarded.
    • Completes all filing efficiently and accurately on a daily basis. Maintains and ensures all materials are present and professional in appearance. Maintains adequate level of office supplies, and distributes deliveries to appropriate location in the office.
    • Monitors and distributes incoming faxes. Processes requests for information, and complies with all HIPAA regulations.
    • Maintains and organizes cleanliness of work area and supply cabinets. Sanitizes and disinfects work area and waiting room on a regular basis.
    • Orients new front office personnel to the procedures, technical requirements and workflow of the Urgent Care Clinic.
