  • Job Objective: A brief overview of the position.
    • Works under the direct supervision of the Director and serves as the primary point of contact for patients and visitors to the Occupational Health Services locations. Greets, screens, assists patients on the phone and in person. Responsible for greeting patients, registering, initiating visit records, taking payments, taking and prioritizing messages and daily reconciliation of financial transactions.

  • Qualifications
    • Education
      • Preferred: High School Diploma or GED
    • Licensure/Certification
      • Required: None
    • Experience
      • Required: Previous experience in urgent care, occupational health or physician office setting.
      • Preferred: Bilingual.
  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • Consistently obtains authorization from Employers for treatment of injured workers.
    • Verifies and updates employer and patient information in the computer including workers compensation insurance and other guarantor information.
    • Registers patients in the computer system free from error in a timely manner, and according to appropriate business guarantor process.
    • Telephone inquiries are answered efficiently and in a timely manner with accurate messages taken and forwarded.
    • Collects and processes payments including checks received in the mail or credit card payments from insurance companies or employers. Provides patient receipt copies.
    • Completes daily financial reconciliation of credit cards, payments, daily receipt journal, submits to the billing company and copies to Finance. Prepares bank deposits for pickup.
    • Maintains appropriate level of office supplies to support the services at the clinic.
    • Obtains and copies or scans patient identification information and ensure it is attached in the computer.
    • Communicates appropriately with physicians, co-workers, patients, employers, insurance companies, outside agencies and the public in a high customer service driven, professional and knowledgeable manner.
    • Schedules appointments for drug screens, physicals, follow-up injuries and other services in an appropriate, efficient and timely manner.
    • Maintains awareness of patient sequence order during waiting period. Coordinates and assists other staff to ensure patients are registered and seen in a timely manner.
    • Constantly stays in contact with patients in the waiting area to ensure they are comfortable and informed.
    • Completes all filing efficiently and accurately on a daily basis. Maintains and ensures all materials are present and professional in appearance.
    • Monitors and delivers incoming faxes, Processes information, and complies with all HIPAA regulations.
    • Maintains and organizes cleanliness of work area and supply cabinets. Sanitizes and disinfects work area and waiting room on a regular basis.
    • Orients new front office personal to the procedures, technical requirements, and workflow of the Occupational Health Services clinics.
    • Performs other duties as assigned related to the delivery of performance excellence in Occupational Health Services.
