Job Objective:

Responsible for planning, organizing and directing the essential patient care functions of the practice. Provides direction and supervision to front and back office staff.

Job Description:

Education:

Required: Graduate of an accredited Licensed Vocation Nurse Program if hired after March 1, 2025

Licensure/Certification:

Required: California Licensed Vocational Nurse (LVN); American Heart Association BLS

Experience:

Required: Two (2) years of experience in an outpatient clinic or physician clinic setting
Preferred: Leadership experience; experience communicating and translating medical terminology using bilingual Spanish/English skills in a hospital, clinic or medical practice setting

Essential Responsibilities:

  • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
  • Supervises patient throughput process, ensuring efficient systems are in place; participates in patient care as backup to nursing and other clinical staff.
  • Ensures accurate documentation of patient care.
  • Prepares and maintains a work schedule for staff consistent with budgeted productivity standards.
  • Manages staff including: coaching, counseling, hiring and training; performs timely employee evaluations; ensures thorough and consistent employee improvement plans, when needed.
  • Reviews and approves time keeping system and all payroll processes.
  • Coordinates and reports quality improvement program monitoring criteria and metrics; creates action plans for improvement.
  • Maintains appropriate inventory of patient care and non-patient care supplies.
  • Utilizes reports (productivity, OT and meal penalty reports) in management of day-to-day clinic operations.
  • Monitors the environment of care on a daily basis, correcting any safety issues which may present; reports safety issues outside of direct control to appropriate department for resolution; monitors external department response and correction.
  • Facilitates employee in-services and continuing education.
  • Reports all patient, provider, staff and/or visitor issues or problems to the CAO in a timely manner.
  • Ensures a high level of employee, patient and physician satisfaction.
  • Manages external communication with other physicians and their respective office staff to monitor and ensure service quality and satisfaction.
  • Ensures that billing process is followed and coding/documentation is sent to Patient Financial Services in a timely manner.
  • Ensures efficient, productivity and sufficient financial resources, including adequate reserves to meet all current and projected financial requirements.
  • Facilities cross-training of all staff for adequate office coverage.
  • Completes special projects as assigned.
  • Role models the organization’s values.
  • Complies with and ensures office and hospital-wide performance excellence standards are followed.
  • Performs other duties as assigned.

  • Knowledge of Joint Commission, State DPH or other accreditation standards of care
  • Ability to analyze issues, identify root causes, and develop solutions
  • Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications
  • Written and verbal communication skills
  • Ability to create a welcoming environment for patients and visitors, demonstrating empathy and respect in all interactions
  • Ability to delegate tasks effectively, optimize team productivity and ensure alignment with organizational goals and objectives
  • Ability to foster a cooperative and supportive work environment, promoting teamwork and morale
  • Ability to work collaboratively in a multidisciplinary team
