Required: Five (5) years of experience in a support coordination role within an ambulatory healthcare setting

Job Objective:

Assists Ambulatory Division leadership to effectively and efficiently manage day to day operations in the clinics through coordination of information and supportive actions for leaders to execute clinical and business activities. Serves as a liaison with key organizational departments and knowledge experts, to identify resources and to facilitate appropriate processes and procedures that support ambulatory business operations and the organization.

Essential Responsibilities:

  • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
  • Assists leadership in day-to-day coordination and management of business administrative activities for the Ambulatory Division.
  • Collaborates with ambulatory leadership on any outstanding licensing needs or requirements in preparation for CDPH, TJC, GACH and other clinic surveys.
  • Helps identify cost containment and waste reduction opportunities within the Ambulatory Division related to supplies, ordering, and high-expense areas.
  • Maintains and distributes established business development reports specific to the Ambulatory Division.
  • Attends monthly Ambulatory VAT committee meetings, and facilitates follow up of divisional action items.
  • Acts as central communication hub for emails, and work orders from divisional leaders working with facilities, managers, vendors, and other staff to resolve clinic issues.
  • Provides administrative and clerical support to CAOs, Directors, and Managers for the Ambulatory Division.
  • Coordinates Ambulatory Division meetings and events as necessary to include scheduling, invitation, reservation and preparation, distribution and preparation for meetings.
  • Coordinates Safety Rounds, AED checks, Emergency Management drills and retention of related documentation
  • Serves as a liaison for Ambulatory Division and health system to communicate appropriate level information, documents, materials, and guidance to employees and leaders
  • Coordinates various ambulatory operational projects driven by leadership.
  • Maintains and develop integral relationships with the leadership team, resource people, and external vendors or business parties.
  • Collaborates with leadership to update and manage Lucidoc documents including policies and procedures, assisting with Lucidoc training, contract management, providing reports.
  • Facilitates contract submission, reviews for completion, and schedules review management.
  • Supports Ambulatory Division management with division initiatives as requested.
  • Assists with business logistics including reporting, invoice billing, contracts and purchasing agreements.
  • Executes operational solutions while providing a high level of internal and external customer service.
  • Identifies and implements processes to improve quality and customer service.
