Required: Bachelor’s degree or additional four (4) years of related experience in lieu of bachelor’s degree

Licensure/Certification:

N/A

Experience:

Required: Three (3) years of experience in a customer service role
Preferred: Event coordination, fundraising, client or customer-based project management experience

Job Objective:

Assists with managing year-round ticketing activation, welcome home donor flu vaccine clinics, event RSVP lists and RSVPs. Maintains a high-level of organization, communication and compassion with donors, employees and external partners in a dynamic event environment. Attends and supports Foundation events to ensure overall success as directed by leadership.

Essential Responsibilities:

  • Demonstrates compliance with Code of Conduct and compliance policies and takes action to resolve compliance questions or concerns and report suspected violations.
  • Oversees the Foundation activation at Acrisure Arena, including the food and beverage activation, invitations and RSVPs, sending tickets and parking to donors, post-event follow up.
  • Supports donors with accessing their physical or digital tickets for all ticketed events.
  • Answers Donors on the RSVP Phone Line and takes accurate phone messages, RSVPs, event requests, distributes information appropriately and follows up with donors, if necessary.
  • Organizes and works with clinical teams on donor flu shot clinics; ensures set up, presentation, excellent donor and partner experience.
  • Submits all approved Foundation Event invoices and maintains invoices in appropriate event budget folder for record keeping.
  • Responsible for event materials inventory and supplies - signage, branding, equipment.
  • Assists director and manager with food and beverage, execution and presentation with vendors across all various levels of Foundation events.
  • Assists director and manager with all rental execution and presentation with vendors across all various levels of Foundation events.
  • Assists director and manager with all audio and visual planning, requests and execution across all various levels of Foundation events.
  • Responsible for physical event preparation, load-in, set-up and load out for indoor and outdoor events and tours.
  • Assists director and manager with all event lists requests, organizing and communicating the following with the appropriate internal and external parties: invitation lists requests, RSVP reports, donor name tag lists, external partner and donor lists, post-event reports and more.
  • Collects vendor certificates of insurance and responsible for all event files and documentation.
  • Attends and works all Eisenhower Health Foundation Events.
  • Assists director and manager with purchasing all event-related items.

Essential Skils:

  • Ability to work in a physically demanding job that may include lifting, carrying, pushing or pulling up to 50 pounds
  • Ability to work in various environments, including indoor venues, outdoor spaces and large-scale event locations
  • Exceptional writing, editing, and proofreading skills with strong attention to detail
  • Ability to adapt quickly to changing priorities and unexpected situations
  • Ability to create a welcoming environment for patients and visitors, demonstrating empathy and respect in all interactions
  • Ability to effectively communicate in a positive and professional manner
  • Ability to prioritize tasks and manage time efficiently to meet deadlines
  • Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications
