Required: Two (2) years of receptionist/clerical experience

Job Objective:

Performs general receptionist and secretarial duties for Barbara Sintra Children's Center (BSCC).

Essential Responsibilities:

  • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
  • Sets appointments for clients in coordination with therapists and clinical operations assistant.
  • Maintains accurate listing of available therapist times, completes scheduling and records in appointment book.
  • Coordinates with Intake Coordinator when new intakes are to be performed.
  • Performs general receptionist duties so that all needed typing, filing, etc., including the following are completed accurately and timely: Opens office promptly each week day at
  • m., checks in with operator for messages, closing office at
  • m., turns phones over to call forwarding. Picks up mail daily from central mail and distributes to Director/Executive Officer. Prepares daily sign-in sheets for individual or group appointments. Quickly and courteously answers phones and greets clients and visitors in English or Spanish, refers to correct person, takes accurate and complete messages, answers each phone call by the third ring if possible. Collects fees, writes receipts, and completes daily summary sheet accurately for the front desk. Obtains new client data in neat legible handwriting when new client comes in for intake appointment. Once new paperwork is completed, directs the new client to see the Intake Coordinator to set up their financial fee. Check with each new client as they come into the Center whether their address and phone number are correct as well as any other needed information which was noted when the file had been pulled.
  • Maintains accurate and complete client files so as to include: Ascertain all needed information is in the file or in process. Keep filing system in order and distribute needed files to therapists mail slots by
  • m. daily or upon request, to be refilled by next morning after return from therapist. Inventory all forms weekly, make necessary copies, keep
  • Aides other workers during periods of heavy workload, in the completion of their work, including typing as assigned.
  • Uses free time between workload assignments to complete the following: Maintain a safe (and clean) work environment, Updates files. Assists with workload of co-workers. Typing as requested.
  • Demonstrates positive interpersonal relations in dealing with fellow employees, supervisors and other EMC employees, so that departmental productivity and positive employee relations are maximized.
  • Demonstrates positive interpersonal relations in dealing with the public, client families and clients, to project a favorable image of the Center and EMC.

Essential Skils:

  • Ability to maintain confidentiality of patients and information discussed with the Center
  • Ability to communicate to a client when the needed information should be requested from a therapist who is well qualified
  • Accurate typing, 10 key, computer literacy, familiarity with multiple computer programs, and good penmanship
  • Fluent English and Spanish speaking (preferred)
  • Good communication, openness, honesty and respect to clients and staff
