    • This position is responsible to determine the caller’s needs and fulfills those needs through program registration and/or physician referral, and through interactions with other departments. Schedules all clinic appointments.

  • Essential Responsibilities
    • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
    • In collaboration with the physician(s), schedules and maintains the calendar for all physician meetings.
    • Responsible for scheduling and confirmation of new and follow-up patient visits, as well as diagnostic testing as instructed by the physician in the patient flow sheet, providing patients with written confirmation and necessary instructions for all lab work, tests and procedures.
    • Responsible for rescheduling of appointments, tests and procedures of patients that are booked on a date that the physician has been called out.
    • Obtains pertinent patient demographic and insurance information prior to scheduled appointments.
    • Forwards new patients the new patient information packets (including the Patient Registration form, New Patient Health History form, Notice of Privacy Practices, Authorization for Release of Medical Records form) via mail and/or website.
    • Contacts patients that have failed appointments to re-schedule.
    • Obtains all necessary pre-certification/authorization for scheduled procedures and tests in a timely manner.
    • Follows through on phone messages and patient call backs in a timely manner.
    • Understands the purpose and documentation of payable diagnosis and ICD coding and has the ability to communicate and assist in obtaining such with a physician, PA/NP or referring physician office.
    • Responsible for requesting patient medical record data from referring offices and hospitals as needed for an appointment and appropriately routing to patient charts upon receipt.
    • Demonstrates adaptability to a changing, fast paced environment; filling in for other schedulers or registrars as necessary.
    • Performs other related duties as assigned by supervisor or physician.
