Job Objective:

Responsible for the coordination of projects and provision of administrative support to the John Stauffer Center for Innovation in Learning Simulation Center leaders and program participants, to ensure the effective and efficient operation of the Simulation Center. Assists with the operation of patient simulator equipment, manikins, and task trainers supporting the clinical simulation environment.

Job Description:

Education:

Required: High school diploma, GED or higher level degree
Preferred: Associate’s degree in healthcare or information technology related field

Licensure/Certification:

N/A

Experience:

Required: Three (3) years of information technology or healthcare experience
Preferred: Experience with coordinating multiple complex projects, working with clinical outcomes data entry; experience with various training technologies, such as simulation manikins and task trainers  

Essential Responsibilities:

  • Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
  • Completes and maintains projects and works collaboratively with others to provide accurate, timely, and user-friendly simulation events and generate outcome data.
  • Provides technical assistance whenever necessary before and during simulation exercise events or video conferencing presentations.
  • Properly maintains and cleans all simulation manikins, equipment and task trainers before, during and after simulation events.
  • Ensures operation of all simulation equipment, office equipment and electronic devices; follows trouble shooting instructions, call for repairs, create work order requests for additional technical assistance.
  • Designs and produces flyers, registration forms, and other educational media.
  • Greets visitors, responds to inquiries and answers calls for the Simulation Center.
  • Provides data entry and prepares requested reports for educational and research initiatives.
  • Provides administrative and office support, including organization and maintaining paper and electronic filing system and contact data bases; maintains appointment calendars and coordinates meetings including preparing appropriate materials such as agendas, minutes, reports and other written or electronic documents.  
  • Supports all onboarding and educational curriculum program needs, including requesting IS access and other delegated duties.
  • Utilizes Simulation Center software programs and applications for simulation events including but not limited to enrollment, educational resources, data entry.
  • Manages, prioritizes and maintains schedules for multiple leaders/ team members by planning, arranging and scheduling meetings, video conferences, teleconference, events, retreats, travel, etc.; ensures space availability, catering services and necessary equipment is arranged.
  • Supports department and organization leaders during any accreditation, licensing or regulatory site visits.
  • Transcribes accurate and comprehensive committee minutes.
  • Prepares and processes invoices, check requests, expense reports and other bills, keeping accurate and up to date records. 
  • Maintains supplies for simulation manikins, equipment, task trainers, office operations, conference rooms, and other department spaces; checks stock to determine inventory levels, place and expedite orders and verify receipt of supplies.
  • Performs other duties as assigned.

  • Ability to organize and coordinate multiple projects simultaneously
  • Problem solving skills to identify issues and formulate effective solutions
  • Ability to negotiate with vendors, conduct basic financial analysis and calculations
  • Proficient with data entry, spreadsheet and collecting and disseminating data
  • Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications
